Multi-Day Journeys — Payment & Cancellation

RESERVATION & DEPOSIT

To formally secure your journey, an initial deposit is required at the time of confirmation:

  • Standard Bookings: 30% of the total trip cost
  • Peak Travel, Major Events & Exclusive Inventory: 60% of the total trip cost
  • Bookings within 60 days of arrival: 100% payment at confirmation

Peak travel and major events may include periods of exceptional demand where accommodations, cruises, flights, or other limited inventory require substantial advance commitments.

A reservation is considered confirmed only upon receipt of the required deposit.

The initial payment is applied toward the total journey cost and allows Experience Egypt Tours to begin securing the accommodations, cruise inventory, guiding services, domestic flights, permits, transportation, and other arrangements outlined in the confirmed itinerary.

All quoted arrangements remain subject to availability until the required initial payment is received.

PEAK TRAVEL, MAJOR EVENTS & EXCLUSIVE INVENTORY

Certain journeys take place during periods of exceptional demand, including major international events, total solar eclipses, peak holiday dates, limited cruise inventory, private charters, or exclusive-use properties.

During these periods, hotels, Dahabeyas, airlines, cruise operators, and other suppliers may require substantial advance payments to secure availability. These supplier payments may be partially or fully non-refundable and, once committed, may not be released if the booking is later cancelled.

For this reason, a higher deposit and/or earlier final payment may be required.

If a journey later needs to be changed or postponed, Experience Egypt Tours will make every reasonable effort to reschedule the arrangements or recover, transfer, or credit any amounts that the relevant suppliers allow.

PAYMENT SCHEDULE

Unless otherwise specified at the time of confirmation, the final payment is scheduled as follows:

  • 60 days prior to arrival: The remaining final balance is due in full.

For peak travel periods, major events, exclusive inventory, private charters, special accommodations, or other arrangements requiring substantial advance commitments, an earlier final-payment date may apply where suppliers require advance settlement.

The applicable payment schedule will always be communicated before confirmation and recorded in the guest's booking correspondence or invoice.

Failure to complete payment by the agreed deadline may result in secured services being released and applicable non-refundable amounts being retained.

ACCEPTED PAYMENT METHODS

We accept the following forms of payment:

  • International bank transfers
  • Secure online credit card payments via invoice link

PRICING & CURRENCY

  • All pricing is based on current supplier rates and exchange conditions.
  • We reserve the right to adjust pricing prior to final payment in the event of significant currency fluctuations, new government taxes, or fuel surcharges. Any required changes will always be communicated transparently.
  • Payments must be made in the currency specified on your invoice. Please note that bank transfer fees or credit card processing charges are the responsibility of the client.

CANCELLATION

All cancellation requests must be submitted in writing. Cancellation charges are calculated based on the date your written notice is received:

  • 60 days or more before arrival: 30% of the total journey cost is non-refundable
  • 30–59 days before arrival: 50% of the total journey cost is is non-refundable
  • 0–29 days before arrival: 100% of the total journey cost is is non-refundable

The amount paid as a deposit does not determine the cancellation charge. Cancellation charges are calculated as a percentage of the total journey cost according to the timeline above, together with any specific non-refundable supplier conditions communicated before confirmation.

Certain components, including domestic flights, special access permits, private charters, exclusive-use properties, cruise or Dahabeya reservations, and arrangements secured during major events, may carry stricter supplier cancellation conditions, including being partially or fully non-refundable from the moment of booking, regardless of the general cancellation timeline above. Any such conditions will be clearly communicated before confirmation.

Where possible, and subject to supplier approval, Experience Egypt Tours will make reasonable efforts to apply recoverable funds toward a future journey.

One-Day Tours & Private Experiences — Payment & Cancellation

RESERVATION & PAYMENT

Unless otherwise specified at the time of confirmation, one-day tours, private excursions, and other single-day experiences require full payment at the time of booking to secure the requested date, guide, transportation, entrance arrangements, and other services included in the confirmed itinerary.

A reservation is considered confirmed only once the required payment has been received.

All arrangements remain subject to availability until payment is received.

CANCELLATION

All cancellation requests must be submitted in writing. Unless otherwise specified at the time of confirmation, the following cancellation terms apply:

  • More than 7 days before the tour date: 10% of the total tour cost is non-refundable
  • Within 7 days of the tour date: 100% of the total tour cost is non-refundable

SPECIAL ARRANGEMENTS & NON-REFUNDABLE SERVICES

Certain one-day tours and private experiences may require earlier financial commitments due to advance-purchased entrance tickets, special-access arrangements, permits, limited or exclusive availability, private transportation, seasonal or high-demand dates, or other supplier requirements.

In such cases, a 14-day non-refundable cancellation period may apply instead of the standard 7-day period. Individual components may also become partially or fully non-refundable from the moment they are secured where required by the relevant supplier.

Any cancellation conditions that differ from our standard one-day tour policy will be clearly communicated before confirmation and recorded in the guest’s booking correspondence or invoice.

CHANGES & REFUNDS

Requested changes to a confirmed tour are subject to availability and any applicable supplier conditions.

Where a cancellation qualifies for a partial refund under the terms above, the refundable amount will be returned after deduction of the applicable cancellation charge and any specifically communicated non-refundable supplier costs.

Where possible, Experience Egypt Tours will make reasonable efforts to accommodate changes to the tour date or arrangements, subject to availability and any costs or restrictions imposed by the relevant suppliers.

ACCOMMODATION SELECTION PRINCIPLES

CURATED DIVERSITY

For each environment, we select stays that reflect the character of the landscape — ranging from 5-star city hotels to carefully chosen heritage lodges and professionally managed private desert camps.

CONFIRMATION OF STAY

One hotel, lodge, or camp from the curated selection relevant to your itinerary will be confirmed upon receipt of your deposit.

AVAILABILITY & STANDARDS

Final accommodation is subject to availability at the time of booking. Experience Egypt Tours may confirm an alternative property or camp of equivalent category and intent, ensuring alignment with our standards for comfort, location, and character.

THE DESERT EXPERIENCE

In remote regions where conventional hotel infrastructure does not exist — such as the White Desert — accommodation takes the form of high-quality desert camping arrangements. These are intentionally selected for privacy, safety, and immersion in the natural environment rather than hotel-style amenities.

INTEGRITY OF CHOICE

Any adjustment is managed personally by our team to preserve the intended atmosphere, quality, and continuity of your journey, regardless of setting.

Flights

DOMESTIC FLIGHTS

Domestic flight prices are quoted based on current availability and are subject to change until ticketed. Any schedule or fare changes may result in a price adjustment.

INTERNATIONAL FLIGHTS

We are happy to assist with sourcing competitive international flight options from your home country, subject to availability and airline conditions. Please note that all airline tickets are governed by the operating airline’s own terms, including fare rules, change conditions, and refund policies. Any penalties or restrictions imposed by the airline are outside our control and will apply accordingly.

Amendments

Requested modifications are subject to availability and may incur supplier penalties or administrative adjustments. Significant changes may be treated as a cancellation and rebooking.

Travel Documentation

To comply with Egyptian tourism regulations and to secure flights, accommodations, desert permits, and guided services, a copy of each traveler’s passport details page is required at the time of booking confirmation.

Passport information is used solely for official registration purposes and is handled with strict confidentiality. Copies are submitted only to authorized authorities and service providers, as required by Egyptian law.

Responsibility & Force Majeure

In the event of circumstances beyond our control (including but not limited to natural disasters, government restrictions, political unrest, or airline disruptions), EET will make reasonable efforts to reschedule services where possible. Any refunds in these situations will be strictly subject to the terms and conditions of our local suppliers.

Travel Insurance

Comprehensive travel insurance is strongly recommended for all guests. We advise ensuring coverage includes trip cancellation, medical emergencies, and travel interruption protection.

Acceptance of Agreement

Payment of a deposit or full amount constitutes acknowledgment and acceptance of all terms and conditions. This agreement represents the full understanding between the client and Experience Egypt Tours.
